A Clear Path From One Home to the Next

Whether you are moving across Palm Beach County or across the country, most of the work happens long before moving day. The secret is simple: break the move into phases and handle each one on time. This guide walks you through decluttering, hiring movers, changing your address, transferring utilities, packing room by room, and settling into your new home. I am Rhonda Townsend, a REALTOR with 1st Real Estate Solution Inc., and I have helped many families coordinate a move around the sale or purchase of a home in Wellington, West Palm Beach, Lake Clarke Shores, and the surrounding communities.

The Checklist

Eight Phases, Checked Off in Order

Phase 01

8 Weeks Out: Getting Organized

Start early so the last few weeks stay calm. The work you do now saves the most time later.

  • Set your moving date and confirm it with everyone involved, including your agent and your lender if you are closing on a new home
  • Create a master moving budget: movers, packing supplies, deposits, travel, and a cushion for the unexpected
  • Decide what you will take, sell, donate, or leave behind, and make a list you can update
  • Choose your moving method: full-service movers, a moving container, or a truck you drive yourself
  • Start a moving file or binder for receipts, contracts, and your to-do list
  • Talk with your REALTOR about how your move timing lines up with your sale or purchase closing date

Phase 02

6 Weeks Out: Decluttering and Donating

You pay to move everything you own. Moving less is the easiest money you will save.

  • Go room by room and sort items into keep, sell, donate, and recycle piles
  • Donate usable items to local charities in Palm Beach County and ask for a receipt if you plan to claim a deduction
  • Sell higher-value furniture, boats, or vehicles you no longer need with plenty of lead time
  • Dispose of hazardous items like paint, chemicals, and old batteries safely; most moving companies will not transport them
  • Shred or recycle papers you no longer need, and keep only what is important
  • Stop subscriptions and memberships you will not carry with you to your new home

Phase 03

1 Month Out: Hiring Movers and Booking the Move

Good movers book up fast in Florida, so confirm your choice about a month ahead.

  • Get written quotes from at least two or three moving companies, and confirm they are licensed and insured
  • Ask about binding estimates, hourly rates, travel time, stairs, and any extra charges for large items
  • Reserve your moving date and keep a copy of the signed estimate and your confirmation
  • If you are moving yourself, reserve the truck, containers, or moving equipment now
  • Arrange parking permits or elevator reservations if your building requires them, and confirm access at both homes
  • Tell your insurance agent that you are moving so your coverage is reviewed for both properties

Phase 04

2 Weeks Out: Packing Room by Room

Pack the things you use least first, and label everything so unpacking is easy.

  • Stock up on boxes, tape, bubble wrap, markers, and packing paper, and get specialty boxes for dishes and wardrobe
  • Pack room by room and label each box with its room and a short contents list
  • Number your boxes and keep a master list so you can confirm nothing is missing
  • Pack an open-first essentials box: toiletries, a change of clothes, phone chargers, medications, and snacks
  • Disconnect and prepare large appliances, and arrange for any that need professional service
  • Take photos of your belongings and any fragile or high-value items for your records

Phase 05

1 Week Out: Documents and Valuables

Keep the things you cannot replace close to you, never in the truck.

  • Gather important documents: IDs, passports, birth certificates, deeds, tax returns, insurance policies, and bank records
  • Carry jewelry, cash, and other valuables with you instead of loading them onto the truck
  • Make a list of your high-value items with photos and any appraisals or receipts
  • Confirm your moving day time with the moving company and get a contact number for the day
  • Plan meals, pet care, and child care for moving day so you can focus on the move
  • Charge your phone, back up your computer, and have cash or cards on hand for tips and unexpected costs

Phase 06

A Few Days Out: Utilities, Address, and Meter Readings

A few phone calls now prevent cold showers and late fees later.

  • Transfer or start electricity, water, gas, internet, and trash service at your new home
  • Schedule service shutoff at your old home for the day after you move out
  • Arrange to read the final meter with the utility company and settle any final bills
  • Update your address with the postal service using a change of address form (USPS forwarding)
  • Change your address with your bank, credit cards, employer, insurance, and the DMV
  • Set up mail forwarding and update your address with any subscriptions or services you are keeping

Phase 07

Moving Day: The Big Day

A short walkthrough before the movers leave protects you and your deposit.

  • Walk through every room of the old home to confirm nothing is left behind
  • Do a final walkthrough and take photos of the empty home for your records
  • Confirm all utilities are off and doors and windows are locked
  • Leave the keys, garage remotes, and any codes as your agreement requires
  • Keep your phone charged and your open-first box within reach
  • Check each box against your numbered list as it comes off the truck at the new home

Phase 08

After the Move: Settling In

The move is not over when the truck leaves. These last steps make the new house a home.

  • Change the locks and reset any garage or alarm codes
  • Locate the water shutoff, gas valve, and electrical panel in your new home
  • Unpack the essentials first, then work room by room at your own pace
  • Register for the Florida homestead exemption with the property appraiser if this will be your primary residence
  • Update your voter registration and any address on file with local government
  • Meet your new neighbors, find the nearest grocery and pharmacy, and give yourself time to settle in
Practical Tips

Ways to Make the Move Feel Lighter

Label every box on the top and at least one side, and keep labels consistent so you can find things fast.

Pack an overnight bag for your first night so you are not digging for toiletries at midnight.

Photograph the inside of your old home after it is empty, before you hand over the keys.

Call your insurance agent about both properties before moving day, not after.

Keep your important documents and valuables in your own car, never in the moving truck.

Give yourself a buffer day between moving out and your closing so you are not juggling both at once.
